Job Summary

The Instructional Services Specialist reports to the Assistant Director of Instructional Services and provides support for the Instructional Services functions including virtual, in-person, and accommodated testing, and the Faculty Assistance Center (FAC). This position administers academic exams, including make-ups and proficiency tests, and HESI and Certiport vendor exams utilizing the Testing Center Exam Management/Appointment system; assists with course copy functions in collaboration with the FAC when operationally needed. In addition, the Specialist must be comfortable proctoring exam sessions virtually as well as "live" or in person.

Service Delivery

  • Provides professional test proctoring services and alternate media related-support for students both in-person and in the virtual environment.
  • Administers and monitors academic, placement, and specialized tests within the guidelines provided by instructors and external certification providers. Follows standard testing protocol by ensuring assessment integrity, distributing appropriate support materials, assisting students with accommodations, troubleshooting technology errors in accordance with college policies and procedures.
  • Adheres to the established process for the proctoring of Virtual Testing sessions: utilizing the LMS - Blackboard, the review of practice tests and course exams, the utilization and completion of various virtual proctoring forms, adherence to review deadlines, and the uploading of proctor review documents in assigned Blackboard course sections.
  • Delivers excellent customer service and provide students, faculty, adjuncts, and staff with a secure, comfortable, and accessible environment both in-person and in the virtual environment. Conforms to the proper etiquette for interacting with individuals with a disability. Answers student, faculty, adjunct, and staff inquiries and make referrals to other campus resources as appropriate.

Clerical

  • Tabulates and reports to Instructional Services leadership, on virtual testing training and practice test completions/passes/retakes for assigned courses. Completes a standard Practice Test Rubric for student feedback and Program designed Proctor Review forms for faculty communication of proctor results.
  • Records any incidents of academic misconduct in the Testing Center via an incident report in RegisterBlast or through the Virtual Testing Maxient System. Writes necessary incident reports and obtains proper signatures as required. Submits incident reports to vendors and documents any testing/accessibility issues, reporting these issues to leadership as needed/directed. Utilizes the Maxient system to make student coaching referrals as well as to request second reviews of Virtual Testing exam sessions.
  • Reports technology issues with assistive technology software or hardware, RegisterBlast, or any of the testing systems utilized in the Testing Center or for Virtual Testing to the Instructional Services Leadership team. Assists with Course Copy or other Faculty Assistance Center functions when operationally needed.

Professional Development, Standards & Credentials

  • Contributes to Department and Instructional Services staff meetings and scheduled training sessions. Stays current on updated virtual testing procedures, ADA accommodation regulations, National College Testing Association (NCTA) standards, alternate media/assistive technology, testing and accessibility related trends. Attends professional development trainings/workshops.
  • Obtains proficiency using various software programs, Blackboard or LMS, Exam Management System, and other tools utilized day-to-day to perform the duties of this position.
  • Ensures a safe and supportive learning environment by complying with Instructional Services' Testing Center procedures, Columbus State's Academic and Student Code of Conduct policies, National College Testing Association standards, and the college's security procedures

  • Regular, predictable, and punctual attendance is required.

OTHER DUTIES & RESPONSIBILITIES

  • Attends all required department meetings and trainings.
  • Flexible hours including nights and weekends are expected. Flexibility to travel to other Testing locations to provide assistance when operationally needed.
  • Other duties as required inclusive of providing assistance to the Faculty Assistance Center as needed during peak periods.

MINIMUM EDUCATION AND EXPERIENCE REQUIRED

  • High School Diploma/GED.
  • Maintains credentials and any annual training/recertification necessary to administer a minimum of one (1) high-stakes certification examination.
  • State Motor Vehicle Operator's License or demonstrable ability to gain access to work site(s).
  • *An appropriate combination of education, training, coursework and experience may qualify a candidate.

KNOWLEDGE, SKILLS, & ABILITIES

Knowledge of: standard practices within the areas of virtual and in-person academic testing and/or accommodated testing services in the higher education setting. Business related software, including Microsoft Office applications (Work, Excel, Outlook, PowerPoint); Testing related computer software, programs, and applications, database management; test administration procedures; standard office procedures and practices; office administration; business English word usage, spelling, sentence structure, and punctuation; FERPA; ADA.

Skilled in: verbal and written communications; prioritize tasks; strong customer service orientation; self-motivation; conflict resolution; general typing; attention to detail; organizational and project management; solving organizational problems; time management; problem-solving under pressure.

PHYSICAL REQUIREMENTS

  • While performing duties of this job, the employee regularly exhibits digital dexterity when entering data into computer. The employee regularly stands and walks for extended periods of time, and occasionally sits. Employee converses verbally with others in person and by telephone. Employee occasionally reaches with hands or arms, climbs or balances and stoops, kneels, crouches or crawls. Vision demands include close, relatively detailed vision and distance vision. Employee occasionally lifts or exerts force of up to 10 pounds when moving materials.

WORKING CONDITIONS

  • Typical office environment. Regular exposure to moderate noise typical to business offices.
